Privacy Policy

1. Scope and who is responsible
Lakes of Las Colinas HOA ("Lakes of Las Colinas", "we", "us", or "our") operates ResidentHub for our community. This Privacy Policy explains how we handle personal information collected through our public website, resident portal, community services, and communications. Our property-management company and service providers may process information for us to administer the community and the portal.
This policy does not replace the community's governing documents, management agreement, or legally required notices. Those documents control where they conflict with this policy.
2. Information we collect
Depending on how you use ResidentHub, we may collect:
- Account and contact information: name, email address, phone number, authentication details, communication preferences, and account activity.
- Property and eligibility information: property address, ownership or occupancy status, household relationships, and other information needed to determine eligibility for a community service.
- Service-request information: information submitted for visitor access, parking, maintenance, architectural review, amenity reservations, violations, governance acknowledgements, and community feedback. This can include vehicle details, dates, descriptions, and uploaded photos or documents.
- Payment and marketplace information: the package selected for a Homes For Sale placement, payment status, provider reference, and verification records. Card payment information is processed by the payment provider and is not stored by ResidentHub.
- Public or shared content you choose to submit: directory details, a public Homes For Sale placement, or other information you expressly choose to make available to the permitted audience.
- Technical and security information: IP address, browser and device data, sign-in events, log data, cookies, and similar information used to secure, operate, and improve the portal.
3. Where information comes from
We collect information directly from you, from your use of ResidentHub, from authorized household members, and from community, management, or service-provider records needed to verify access or administer the community. We may also receive information from payment processors and other vendors when they provide a service you requested.
4. How we use information
We use personal information to:
- operate, secure, troubleshoot, and improve ResidentHub;
- create and administer accounts, verify eligibility, and manage household or property access;
- process, review, and communicate about community requests, reservations, approvals, payments, and listings;
- send service notices, required community communications, reminders, and other messages consistent with your preferences and applicable law;
- maintain community records, enforce governing documents, protect safety and security, prevent fraud or misuse, and comply with legal obligations; and
- produce de-identified or aggregated operational reporting.
5. How information is shared
We do not sell personal information for money. We do not use personal information for cross-context behavioral advertising.
We may share information with:
- authorized board members, committees, managers, and staff who need it for their community role;
- vendors that provide hosting, authentication, storage, email, payment processing, support, security, or other services for us, subject to contractual or legal safeguards where appropriate;
- other residents or the public only when you choose a directory setting, submit a public Homes For Sale placement, or another feature clearly states that sharing will occur;
- professional advisers, insurers, law enforcement, regulators, courts, or other parties when reasonably necessary to protect rights, safety, property, or comply with law; and
- a successor organization in connection with a lawful reorganization or transfer of community operations.
6. Directory and Homes For Sale choices
Directory participation is controlled by the preferences shown in ResidentHub. A Homes For Sale placement is intentionally public only after it is approved, paid or manually verified, live, and unexpired. Such placements are a community directory service linking to an external real-estate listing; ResidentHub does not collect buyer inquiries or operate an MLS.
Do not include sensitive personal information in any public profile, listing, request description, photo, or document unless it is necessary for the service and you are authorized to provide it.
7. Cookies, analytics, and similar technologies
We use essential cookies and similar technologies for sign-in, security, preferences, and portal functionality. We may use limited analytics or diagnostics to understand reliability and usage. You can control many cookies through your browser settings, though disabling essential cookies can prevent sign-in or other portal features from working.
8. Retention
We retain information for as long as reasonably necessary to operate ResidentHub, administer the community, resolve disputes, meet record-retention obligations, and protect our rights and community safety. Retention varies by record type. For example, unsubmitted Homes For Sale drafts and their assets are scheduled for deletion after 90 days, while finalized decision evidence is retained for seven years unless a longer period is required by law, a governing document, insurance, or a legal hold.
9. Security
We use administrative, technical, and organizational safeguards designed to protect information appropriate to its nature and the risks involved. No online system is completely secure. Please use a unique password, protect your account credentials, and promptly report suspected unauthorized access to us.
10. Your choices and requests
You can review and update much of your account, directory, and notification information in ResidentHub. You may also request access to, correction of, or deletion of personal information, subject to applicable law and our legitimate recordkeeping, community, security, and legal obligations. To make a request, contact us using the details below. We may need to verify your identity and authority before responding.
Where applicable privacy law provides additional rights, including the right to know, access, correct, delete, obtain a portable copy, opt out of certain processing, or appeal a decision about a request, we will honor those rights as required by law. We will explain any denial and available appeal process in our response.
11. Children's information
ResidentHub is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the public website. A parent or guardian who believes a child has provided personal information may contact us to request review or deletion.
12. Changes to this policy
We may update this policy to reflect changes to ResidentHub, our practices, or legal requirements. We will post the updated version here and revise the effective date. For material changes, we will provide additional notice through ResidentHub or another appropriate channel when required.
